If  you’ve ever been promised “variety” only to end up trapped in meetings  about meetings, you’ll breathe easy here. Our days swing between design  chats, site visits, coffee-fuelled problem-solving, and the occasional  spreadsheet sprint. Some mornings start with cheese scones; others with a  property deal that needs a CMA, a signature, and (depending on the day)  a small prayer. 

The Role 

We’re  looking for an organised and proactive professional to keep our  operations humming. Think Donna-from-Suits energy: unflappable under  pressure, armed with dry humour, impeccable timing, and the quiet  satisfaction of always being three steps ahead. This is a hands-on role  supporting property sales, managing admin and accounts. You don’t need  to know everything about the property world – just someone who loves the  satisfaction of moving a big, tidy to-do list from “in progress” to  “done.” 

A day in the life? You’re lining up a photographer, then  hopping into Xero to match transactions like it’s a competitive sport.  Before lunch, you’ve chased an insurance certificate, printed a  contract, and gently reminded someone (again) to return keys to the  lockbox. The afternoon brings Trade Me listings, a printer that’s having  an existential crisis, and the classic “Quick question…” from your  boss, which, as always, is neither quick nor a question. By the end of  the day, you’ve wrapped 27 tasks, prepped tomorrow’s priorities and  double-checked a settlement timeline. 

What You’ll Do 

  • Property & Sales Support 
  • Conduct CMAs for “as is where is” and commercial property deals. 
  • Communicate with buyers, qualify leads, and keep them informed. 
  • Admin & Accounts 
  • Keep Xero running smoothly: match transactions, create invoices, check GST. 
  • Handle contracts, insurance paperwork, and bank correspondence. 
  • Maintain spreadsheets and assist with tenders and document formatting. 
  • Client & Project Support 
  • Coordinate with partners and assist with tender submissions. 
  • Organise site shouts, morning teas, and team celebrations. 
  • Support side projects and new business initiatives. 
  • Innovation & AI 
  • Test and implement new tools and technology to improve efficiency.
